Excel or a client tracking system: is a sheet enough?
Excel is not bad. For a few clients it works fine. This is where it starts to chafe, and when switching pays off.
When Excel is enough
- You have a handful of clients at a time.
- You work alone and share nothing with colleagues or client organisations.
- You don't have to account for hours or reports.
When it starts to chafe
- Versions. Multiple files and nobody knows which one is the latest.
- Scattered data. Clients in a sheet, reports in Word, hours somewhere else.
- Reporting. A client organisation asks for an overview and you start searching.
- Privacy. Sensitive data in loose files, without roles or a log.
- Collaboration. As soon as a second coach joins, a sheet becomes fragile.
